Group Subjects

Complex Appraisals

Complex appraisals can now be easily prepared in Commercial Complete by utilizing the Group Subjects capability. For example, 2 analyses may be required for a single property, perhaps "As Is" and "As Complete" or "Before Taking" and "After Taking". 

 

Completely separate Subject property records can be added to complete the analyses; different comps, different income analysis, etc. Then these records are added to a Subject Group and one narrative can be created that brings in the data from each of the Subject records in the group. Up to 10 different property records can be added to the Subject Group.

 

Group Subjects

A Subject Group enables the preparation of complex appraisal assignments efficiently and in an organized

manner. Information from each subject member in a Subject Group can be inserted into a single narrative.

When data of a Subject Member or its comparables is changed, updating the narrative will automatically bring in

the new data for the Primary Subject and each group member.

 

Potential Uses

 

Two Step Process

1. First, a Subject Group must be created. That is done on this screen, the Group Subject Window, by adding a Primary Subject and additional Subjects, from Subject 2 up to Subject 10.

2. Second, Group Subject areas must be inserted in the narrative that will be built with the Primary Subject.

 

Creating a Subject Group and Adding Group Subjects

 

Creating a Subject Group

1. Add your Primary Subject record to the database, just as you would for a standard subject analysis. Comps can be added at this time or later, as you would for a standard analysis.

2. Bring the Primary Subject record into current view and click the green Subject button (lower left corner of the screen) - again, as you would for any standard subject analysis. A Subject tab will be displayed on the left of the screen and a Group Subjects tab will be displayed above the Subjects tab.

3. Click the Group Subjects tab to display the Group Subjects Window. A File number must be assigned to the Subject before this window will open. 

4. Your Primary Subject will appear as the first property in the table.

 

NOTE: The Primary Subject and each Group Subject member must be assigned a File Number before it

can be added to a Subject Group. These file numbers are used by Commercial Complete to keep track

of the members of a Subject Group. If the File Number of one of the Subject Group members is later

changed, it will be removed from the group.

 

Adding Group Subjects

1. Up to 9 additional subjects can be added to the Subjects Group for each Primary Subject. They will be designated Subject 2 through Subject 10. First, a Subject Group must be created. That is done on this screen by adding a Primary Subject and additional Subjects, from Subject 2 up to Subject 10.

2. To add a Group Subject, click on the File Number column of Subject 2 (or 3 to 10) and then click the dropdown button. Select the File Number from the list that represents this Subject member. This property will be added to the Subject Group.

 

NOTE: The Primary Subject and each Group Subject member must be assigned a File Number before it

can be added to a Subject Group. These file numbers are used by Commercial Complete to keep track

of the members of a Subject Group. If the File Number of one of the Subject Group members is later

changed, it will be removed from the group.

 

After a Subject Group Has been Created

Once a Subject Group has been created, the analyses from each Subject member can be performed as they

would be for a standard Subject analysis. Each subject is independent of the other Subject Group members.

Comparables for any of the Comparables Groups can be added, each Subject will have a different income

analysis, and different improvements can be added for each subject.

 

Moving From Subject to Subject Within a Subject Group

1. When a member of a Subject Group is brought into current view and its comps are displayed by clicking the green Subject button (lower left corner of Data Entry view), the Group Subjects tab will also be displayed in green on the left side of the screen. 

2. Click this Group Subjects tab to display the Group Subjects Window. All members of the Subject Group will be listed in the table.

3. Click a Subject member in the table to bring its Subject and comps into current view.

4. Click the Data Entry view tab to work with this Group Subject analysis as you would for any standard subject analysis.

 

Inserting Group Subject Areas in the Narrative

Overview

The information that is inserted in the Data fields and Report fields in a standard Commercial Complete template is drawn from the Subject property that is in Current View. An excerpt from the cover page of a typical standard CC template is shown below. 

 

 

In a complex CC narrative, which we define as a narrative that contains references to more than one subject, an excerpt from the cover page might look like this: 

 

 

 

Notice the bracketed Group Subject Area beginning with Group Subject 2[ and ending with /GS]. In this example, the Primary Subject is 6151 McMichael Road. Group Subject 2 is TWO South Shore Drive, a separate property. Information for the primary Subject does not need to be bracketed. Data fields and Report fields that are not within a bracketed Group Subject Area are Primary Subject fields. Data fields and Report fields that are within Group Subject Area brackets are fields associated with that particular Group Subject; in this example Group Subject 2. When the document is updated, information that is inserted in the Data fields and Reports fields is drawn from the respective Group Subjects.

 

 

Inserting a Group Subject Area in Your Narrative

To insert a Group Subject Area in your narrative:

1. Place your cursor in the location where the Group Subject Area is to be inserted.

2. Click the green Insert button.

3. Move your mouse over the Insert Group Subject Area line near the bottom of the list.

4. Select the Group Subject that you wish to insert.

5. A Group Subject Area will be created with the message Insert Your information here.

 

Note: If you highlight an area in your narrative, and then follow steps 2 through 5 above, the

highlighted area will be defined as Group Subject Area.
